Q) What is Grand Chapter?

A) Grand Chapter is the supreme legislative body of the Fraternity and convenes every two years. It is comprised of one delegate from each undergraduate and alumni chapter, the Grand Consul and the past Grand Consuls. The Grand Chapter has the power to alter or amend the Constitution, Statutes and Executive Committee Regulations and to enact, subject to the Governing Laws, any legislation to promote the general welfare of the Fraternity.

Q) Who should attend Grand Chapter?

A) All Sigma Chi members and their families are welcome to attend Grand Chapter. However, only one certified delegate from each undergraduate and alumni chapter is eligible to vote. Remember, undergraduate chapters have paid the registration costs for one delegate through their annual fees. Therefore, each undergraduate chapter should send one voting delegate. 

Q) When will the 2021 Grand Chapter take place?

A) Thursday, June 24, through Sunday, June 27.

Q) When does check-in for the event begin?

A) Check-in for the 2021 Grand Chapter will begin on Wednesday, June 23, at noon at the Westin Kierland Resort.

 

Q) When does the first business session begin?

A) The first business session will begin on Friday, June 25, at 8:30 a.m. For delegates there is a delegate orientation on Thursday, June 24, at 5 p.m.

Q) What else will happen at Grand Chapter?

A) Several social events and awards presentations are scheduled in conjunction with the business meetings of Grand Chapter. These events will include two Order of Constantine awards luncheons, a Significant Sig awards ceremony, an expo night with brothers, White Rose event in Sedona, Sweetheart reception for undergrads only, Celebration of Sigma Chi banquet, auction and golf tournament.

Q) What is the dress code for the business sessions and other social functions?

A) The dress code for all business sessions is business casual. The dress code for the welcome reception is summer evening attire, and the dress code for the banquet is formal evening attire (suite and tie).

Q) Where will all the events be held?

A) All meetings will be held at the Westin Kierland Resort, located at 6902 E. Greenway Parkway, Scottsdale, Arizona. The White Rose event will be via bus to Sedona and include a local trolley tour and lunch at the Enchantment Resort.

Q) Where can I find a copy of the schedule?

A) You can find a full schedule of events on the Grand Chapter website under the “agenda” tab.

Q) Has a special sleeping room rate has been negotiated?

A) Yes, Grand Chapter attendees will receive a special rate of $145 plus tax per night, plus $18 per night resort fee if you book by May 28, 2021. Maximum occupancy is four persons per room.

Q) How do I make hotel reservations?

A) Hotel reservations can be made online through the Grand Chapter website under the “travel and accommodations” section. The URL to book your reservation online is https://book.passkey.com/go/SigmaChiGrandChapter.

Alternatively, you may book through the Westin Kierland Resort directly by calling (480) 624-1000 or (800)-354-5892 and referencing the code “SIGMACHI” to receive the event rate of $145 plus tax per night and an $18 per room per night resort fee.

You are responsible for full payment. We will have a Facebook site available where you can reach out to another brother to share a room and the cost with.

Room reservations for Grand Officers only (EC, GP, LTB, PGC) will be made for you via a rooming list by Headquarters.

Q) Do you offer early bird pricing for registration?
A) Yes, we offer early bird registration pricing for participants who purchase the full-package registration option by May 31. The discounted rate is $499 and will increase by $100 on June 1.

 

Q) What is the last day that I can register for the event?
A) Registration for the 83rd Grand Chapter will close at 11:55 p.m. CT on June 11.

Q) How far is the Westin Kierland Resort from the airport?

A) The Westin Kierland Resort is located 14 miles from the Phoenix Sky Harbor International Airport.

 

Q) Is transportation between the hotel and airport covered?

A) Transportation to and from the airport is not a reimbursable expense; the Westin Kierland Resort DOES NOT offer a complimentary shuttle. Uber/LYFT charge is approximately $32, and a taxi is approximately $57. Overnight parking at the hotel is $16 per night.

Q) What is covered for undergraduate delegates?

A) Each chapter has the registration fee for one delegate covered through its annual fees if the chapter is in good financial standing with the General Fraternity. This registration also includes all meals covered in the standard package rate. Delegates, however, must pay for their own hotel room and transport to and from the Phoenix Sky Harbor Airport.

Q) How do undergraduate delegates qualify for their stipend?

A) Undergraduate delegates must attend all business sessions to receive their travel stipend. The delegate’s chapter must also be in good financial standing with the General Fraternity to receive its stipend.

 

Q) Do alumni delegates have to submit a delegate certification form?

A) All delegates to the Grand Chapter must submit a delegate certification form to International Headquarters on or before June 1

Q) Where can I find the delegate certification form?

A) You can obtain a delegate certification form through the Grand Chapter website under the “delegate credentials” tab.

 

Q) What happens if I do not fill out the form?

A) You will be unable to vote, and undergraduates do not qualify for a travel stipend.

A) Accredited alumni chapter delegates.

A) No, voting is restricted to alumni and undergraduate chapter delegates.

A) There are many important reasons: to elect the Grand Officers and International Sweetheart, to vote on General Fraternity policy, to represent your chapter before the entire Fraternity, to learn more about Sigma Chi and to help determine the future of Sigma Chi.

Q) How much will it cost to send our undergraduate delegate to Grand Chapter?

A) Each undergraduate chapter has already paid the registration fee for one delegate through its Grand Chapter deposits, which are included in each chapter’s annual fees to International Headquarters. Delegates or their chapter will, however, be responsible for the cost of accommodations, transportation and meals that are not already included in the Grand Chapter package.

Remember, each delegate will be eligible for a travel stipend based on 100-percent attendance at all business sessions. The stipend is calculated at 8 cents per mile for the first 1,000 miles and 10 cents per mile for every mile thereafter round-trip. All travel stipends will be posted as a credit to the chapter’s account with the General Fraternity at the conclusion of Grand Chapter.

Q) When will the undergraduate delegates receive their stipend?

A) Chapters whose delegates have attended all business sessions, and who are in good financial standing with the Fraternity, will receive their travel stipend as a credit posted to its account with the General Fraternity after the event’s conclusion.

Q) Do alumni and undergraduate delegates have to submit a delegate certification form?

A) All delegates to the Grand Chapter must submit a delegate certification form to International Headquarters on or before June 1.

Q) How do I certify my chapter's delegate?

A) All Consuls/presidents and Annotators/secretaries should visit chaptersystem.sigmachi.org and complete the item called "Certify my Grand Chapter delegate," located in the To Do section of their profile.

 

Q) What happens if I do not certify my chapter's delegate?

A) You will be unable to vote, and undergraduates do not qualify for a travel stipend.

 

Q) Who can vote?

Q) How should I best prepare for the Grand Chapter?

A) Please refer to the Governing Laws, particularly Constitution Article IV, paragraphs B through E, for further explanation. Copies of these provisions can be found in the Standard Operating Procedures manual. Also, attend the delegate orientation and International Sweetheart speeches taking place on Thursday, June 24, at 5 p.m.

2020 Order of Constantine Awards Lunch

Business casual. Attendees should not wear shorts or sandals. Jacket, sport coat and slacks or formal military attire is recommended for Order of Constantine inductees. Honorees will be photographed during this event.

White Rose Sedona Tour and Luncheon

Resort casual. Attendees are encouraged to wear comfortable walking shoes and bring hat and sunscreen, as they will walking outside during the tour and shopping portions. Lunch at Enchantment Resort will be indoors in an air-conditioned environment.

Friday Significant Sig Private Reception

Women: Summer evening cocktail attire.

Men: Summer suit or a sport coat.

Saturday, June 26

Sunday Golf and Brunch

Golf attire and shoes. For brunch, dress code is summer casual and comfortable.

Q) How do I submit proof of vaccination?

A) All registrants who plan to attend the 83rd Grand Chapter in person in Scottsdale should upload a photo of their COVID-19 vaccination card from the Centers for Disease Control and Prevention here. Note that all in-person attendees must be fully vaccinated against COVID-19 not less than 14 days prior to the beginning of Grand Chapter on June 24, and must upload a photo of their vaccination card prior to the event.

Q) How do I request an exemption from the Fraternity’s vaccination requirement for in-person attendees?

A) Persons who wish the attend the 83rd Grand Chapter in Scottsdale in person and who are unable to obtain a vaccination or will not be vaccinated for other reasons may request an exemption from the Fraternity’s vaccination requirements for in-person attendees. All exemption requests will be reviewed by the Grand Consul who will make decisions on a case-by-case basis.

Q) Will the International Fraternity store my vaccination information? Who will have access to it?

A) The International Fraternity will store images of Centers for Disease Control and Prevention COVID-19 vaccination cards that can be accessed by headquarters’ human resources personnel. All such information will be expunged from Sigma Chi’s records once it is no longer needed. More information on Sigma Chi’s privacy policy is available here.

Q) Your health and safety plan page mentions that all in-person attendees must participate in the Fraternity’s contact tracing software. What does that mean?

A) Sigma Chi has partnered with a third-party contact tracing company in order to provide guests with an added layer of event safety and security. The service provides private and precise people-positioning information that allows for contact tracing to occur in real time. In the event a person becomes sick with COVID-19 at the event, Sigma Chi will be able to notify all persons who were in contact with the infected person of their possible exposure. This added safety measure is provided at no cost to attendees.

Q) What happens if I contract COVID-19 while at the Westin Kierland Resort and Spa in Scottsdale?

A) All in-person attendees will be asked to self-screen each morning for symptoms associated with COVID-19 and certify that they have done so using Sigma Chi’s health screening questionnaire. Any person reporting symptoms of COVID-19 will be asked to self-quarantine in their room and connect with a medical professional to determine next steps.

The Westin Kierland Resort and Spa has additional guidelines in place in the event that they are alerted to a case of COVID-19, including:

Case Notification: If a guest starts to feel ill, they will be encouraged to contact health authorities. Extensive crisis communications plans are in place, so that appropriate quarantine procedures and cleaning protocols may be implemented.

Occupied Guest Room Recovery Protocol: In the event of a guest with a confirmed or suspected case of COVID-19, their guest room will be removed from service to undergo a specific cleaning protocol. The guest room will not be returned to service until the room has been disinfected, and consistent with the guidance issued by local health authorities. Similar recovery protocols address public spaces, associate offices and work areas.

Q) Will Sigma Chi cover any expenses as a result of an in-person attendee needing to self-quarantine or seek medical assistance?

A) Sigma Chi is providing robust preventative and support systems to keep in-person attendees safe; however, each in-person attendee is responsible for their own health and safety and Sigma Chi will not be responsible for any expenses incurred due to an attendee’s needing to self-quarantine or seek medical assistance.

Q) What will happen if I show up without providing proof of COVID-19 vaccination or without an exemption from the Grand Consul?

A) Any in-person attendee that has not provided proof of vaccination occurring not less than 14 days prior to the beginning of Grand Chapter will be asked to do so at event check-in. If you cannot provide proof or your vaccination occurred within 14 days of the event, you will not be permitted entry to any Grand Chapter functions.

Q) If I am vaccinated, do I still have to follow health and safety guidelines such as wearing a mask, having my temperature checked and submitting daily self-screenings?

A) Yes, all in-person attendees regardless of their vaccination status must comply with all health and safety guidelines.

Q. What will happen if I fail to follow health and safety guidelines for the event?

A) It is the responsibility of each in-person attendee to follow health and safety guidelines for the event. Sigma Chi staff and partnered third-party vendors will do their best to remind in-person attendees of the health and safety guidelines if they find a person is not following them. Any in-person attendee who is found to be disregarding the guidance or who refuses to comply with requests to follow health and safety guidelines will be asked to leave for the remaining duration of the event. It is important that we all do our part to follow health and safety guidelines.
